  1. Opening Remarks and welcome

 

Rick Gallagher welcomed all in attendance to the 2003 AGM.  Rick thanked Ron Dewar for all of his hard work in the planning of a very successful meeting.

 

  1. Financial Report

 

Rick presented the financial report on behalf of Joan Lindsay.  The report was from May 2002 – May 1, 2003.

 

Opening balance                                 $ 52,456.54

Expenses                                             $ 48,062.42

Revenue                                              $ 29,272.11

 

Closing balance as of May 1, 2003     $ 33,645.98

 

There was concern expressed about the funds that are available and talk centered around the expenditures.

The main expenditures are for the Secretariat position, the Newsletter and board meetings.

Rick obtained a quote from Venue West which he passed on to Loraine Marrett the incoming Vice President.  Loraine will be in contact with Yang Mao (the incoming President) as well as the 2003-2004 board members and will discuss some options on ways to reduce expenses, as well as to review the option of Venue West assuming the responsibility of the various functions as described in the proposal.

One suggestion to reduce costs centered around preparing the Newsletter for distribution on a PDF file.

Another suggestion to the new board was an additional increase in dues.

It was noted that approximately 45% had renewed their membership and a notice will have to be prepared and sent out to remind people to pay their dues.

Health Canada was given a thank you for all their support of the various functions of the CSEB.

 

  1. Communications

 

Shirley Hutchcroft was not present and this item was tabled.

 

  1. Changing of the By-laws

 

The following By-laws will be changed to reflect the separation of the roles of Secretary-Treasurer.

 

Page 4 – 7.1

Page 5 – 9.1  should read President, Vice-president, Secretary, Treasurer.

Page 6 – 10.3 should read Secretary, Treasurer

Page 6 – 10.4 should read Treasurer

 

Nazeem Muhajarine made the motion “the Executive should consist of a minimum of 4 members”

Seconded by Donna Turner.

Passed.

 

  1. Membership Drive

 

Nazeem reported the procedures that were followed in the membership drive.

A membership committee had been formed at the Board of Directors meeting in January,

  • The committee had 2 teleconference calls,
  • The brochure was updated and sent out with a covering letter
  • Current members were encouraged to get their friends and colleagues to join CSEB,
  • Approximately 400 past members were sent a letter and brochure.

Nazeem thanked all members of the committee for their work.

 

  1. Student Stipend

 

Vicki (on behalf of Jennifer) reported that 30 students had requested and granted financial support ranging from $300-$700 depending on their location.

 

  1. Joint SER-CSEB 2005 Conference

 

Rick and Jack will be the Canadian co-chairs.

 

  1. Elections Results

 

Jack announced the results of the 2003-2004 Board of Directors of CSEB.

Jack reported that this was the first time that the election was conducted via e-mail and that it worked very well.  75 votes were received as compared to 114 from the previous election.

Loraine Marrett closed the meeting off by asking if anyone had any concerns or questions.  Loraine reported that she would be in contact with Yang Mao within the next two weeks and they would start to handle some of the concerns that had been expressed.

Motion to adjourn the meeting was made by Rick Gallagher and seconded by Donna Turner.
